There are three times during the event planning when scenic design can encounter unforeseen complications.   During the design and planning phase, during the installation phase, and during the event.  Because we have encountered various complications over the years, we have established ways to avoid them when possible and solve them onsite when necessary.

Sometimes site surveys are not possible and the information our clients receive from the venue is wrong which can be very bad when looking at ceiling height. We arrived to one venue in New York City with a 14’ tall set design. Upon arrival, we learned the room was only 12’8” tall. We spent ten minutes sketching out a new design that was possible to build with a 12’ height using our Hard Panel Scenic System and adapted the set design to the room size. Not recommended but things can come up and modular scenery can be adapted.

During the final design phase of one project, our client learned the fire marshal was requiring access doors in the set for emergency egress. We were able to create two floor-to-ceiling doors that were invisible save for the illuminated exit signs posted at the top of the set. With a light push, they could swing open to the ballroom exit doors directly behind which satisfied the fire marshal and permitted the event to proceed as planned.

On another occasion, our client failed to secure a 24-hour room hold and the venue booked another event in 3 of the 4 sections of the Grand Ballroom we were to load into in the morning. We coordinated with lighting, sound, and audiovisual to prebuild everything in the one tiny ballroom next door and slide and roll everything into place in the late afternoon when we secured the space. It worked beautifully.

Our point is, we have seen a variety of possible issues that have a tendency to come up in the event planning industry, and over the years we have successfully navigated difficult situations through creative solutions. Any time an odd scenario arises, we make a mental note and this ensures when you work with our team, there is a solution for most scenarios.   It is not uncommon for event planning agencies to come to us with a problem they cannot seem to find a solution to.
